Policy and Procedure for Reduced Rate Services

Updated April 2025

All clients, new and existing, must complete the Reduced Rate Services Application Form before accessing reduced rate services.

Clients are not required to provide any documentation to support their financial need.

The client must meet the three minimum requirements in order to access reduced rate services.

  1. The client does not have access to extended benefits or insurance for mental health counselling or therapy services of any kind, whether directly or as a spouse or dependent of someone who is insured.
    • In the event that a client’s benefits become exhausted and there are barriers to continuing services at the full rate, the client may apply to access reduced rate services.
    • A client does not qualify for reduced rate services if they hold an insurance policy that covers therapy services other than what Aroha practitioners provide (ie: a policy that covers psychology but not social work).
  2. The client does not have access to free mental health services that meet their needs through other programs such as Employee and Family Services Programs (EFAP), student counselling services, victim services, child and family services, and otherwise.
  3. Paying the full rate for mental health services will compromise the client’s ability to meet basic needs such as food, housing, utilities, transportation, and caring for loved ones.

Access to reduced rate services is not guaranteed.

Practitioners each have limited space within their caseload reserved for reduced rate services. For this reason:

  • immediate access to reduced rate services is not guaranteed and approved applicants may be placed on a waitlist;
  • practitioners may set a predetermined number of sessions the client may access at a reduced rate.

Rates are set on a case-by-case basis.

  • The client and their practitioner will determine the appropriate rate together.
    • The sliding scale ranges between $60.00 and $120.00 per session.
    • Factors that may be considered when determining the rate can include annual income, debt, housing security, student status, having dependents or caring for loved ones, employment barriers, immigration status, disability and other experiences unique to the client.

Once the client has discussed and set a reduced rate with their practitioner, the client will continue to book standard rate sessions via the online booking system and the fee will be adjusted to the agreed upon rate.

Once 6 weeks have passed without the client booking a session, the client may be placed back on the waiting list to accommodate others awaiting access to reduced rate services.
